Our client is seeking a proactive and organized Executive Assistant to join our dynamic team.
The ideal candidate will possess strong organizational skills, a solution-oriented mindset, and a multicultural background. You will play a crucial role in supporting our executive leadership by managing schedules, coordinating communications, and facilitating various projects.
Key Responsibilities:
– Calendar Management: Efficiently manage the executive’s calendar by scheduling appointments, meetings, and travel arrangements to optimize time.
– Communication Liaison: Serve as the primary point of contact for the executive, communicating with internal and external stakeholders in a professional manner.
– Administrative Support: Provide comprehensive support, including email management, presentation preparation, file organization, and expense tracking. Responsibilities also include payment collection, coordinating the delivery of goods and documents, scheduling tasks across the group, and following up on pending tasks.
– Event Coordination: Assist in organizing corporate events such as product launches and promotional activities, managing logistics and follow-up tasks. This may include managing high-profile events at the restaurant.
– Travel Coordination: Arrange all travel logistics for the executive, ensuring seamless experiences for flights, accommodations, and transportation.
– Project Support: Conduct research and prepare reports to assist in decision-making for various initiatives.
– Confidentiality Management: Handle sensitive information with discretion while maintaining professionalism in all tasks.
– Insurance Support: Assist with project support in the insurance sector, primarily acting as a liaison to ensure deliverables are met on time and following up on necessary renewals.
– Real Estate Support: Follow up on new listings and leads in the real estate sector, facilitating communication and acting as a liaison for ongoing projects.
Qualifications:
- Bachelor’s degree in a relevant field.
- Minimum of 1 year of experience as an executive assistant or in a similar role.
- Exceptional organizational and time management skills in a fast-paced environment.
- Strong communication and interpersonal skills to interact effectively with all organizational levels.
- Proficiency in MS Office and other relevant software applications.
- Ability to maintain confidentiality, exercise sound judgment, and adapt to changing priorities.
